How to get a PRD signed by client via Plutio
This tutorial will guide you through the process of creating a contract in Plutio using a pre-existing PRD (Process Requirements Document) and sending it to your client for an official signature.
Prerequisites
Before starting, ensure the following:
You have Plutio access and are associated with the relevant project.
Your PRD document is open and easy to reach for copying its full content.
Step-by-Step Guide
1. Create the Contract Draft
Navigate to your project in Plutio (e.g., the 'Loop' project).
Go to the Contracts section.
Click on Create a Contract.
Select the appropriate template for PRDs.
Change the Title to make it clear to the client. Example: Loop PRD V1.
2. Set the Signee
Locate the Signees field.
Add the person who needs to sign the contract. This should be the client contact or decision-maker with the authority to sign off on the PRD scope.
❗️ Important Detail: Plutio contracts currently only allow one person per contract to be designated as the signee. If more than one person needs to sign, you must create a separate contract for each person, using the same PRD content.
Click on Create Contract. This will open the draft document.
3. Insert the PRD Content
Go back to your PRD document and copy the entirety of its content.
Return to the Plutio contract draft.
Paste the copied PRD content into the body of the contract.
Review the pasted content carefully to ensure the formatting is correct, nothing is out of place, and all empty spaces or elements copied correctly.
4. Send the Contract for Signing
Once you have verified the content, click on Contract Status.
Change the status to Pending. A pop-up window will appear for sending the contract.
Customize the email:
Signee: This will be automatically set to the person you selected earlier.
CC (Optional): You can copy other people who should be made aware of the contract, such as other client contacts or internal team members (e.g., the Head of Operations).
Subject: Change the subject line to be friendly and clear. Example: [Local Agency Name] Loop New Contract for Signing.
Message: Customize the body of the email message.
Recommended Option: Enable the option to send a PDF copy along with the PRD link.
Final Action: Before sending, always let the client know via a separate communication (e.g., Slack or a quick email) that they should be expecting this email so they don't miss it.
Click Send.
5. Client Signing Process (For Your Information)
Once the client receives the email, they will see the customized subject, message, and the PDF copy (if enabled).
They will click on View Contract.
They will be directed to the contract in Plutio where they can review the full PRD content.
They will be prompted to enter their full name and click Sign Contract to finalize the agreement.
The contract will then be considered signed and officially executed.
