This SOP outlines the steps to be taken when a new project is initiated, ensuring all necessary resources are properly pinned, shared, and managed for smooth project execution.

Why This SOP Is Important

Proper project setup is crucial for smooth project execution and collaboration. It ensures that all team members have access to necessary resources, tasks are correctly assigned, and the client is integrated into the project portal, fostering efficient communication and progress tracking.


Key Steps

  1. Pin Resources in Slack and Add to Plutio:

    • Pin in Slack:
      • Link to scope
      • Link to lo-fi wireframes
      • Link to hi-fi wireframes (if applicable)
      • Link to database structure
    • Add to Plutio:
      • Scope document
      • Lo-fi wireframes
      • Hi-fi wireframes (if applicable)
      • Database structure
  2. Database Access:

    • Give edit access to the database schema file to the developer.
  3. Task Assignment:

    • Confirm that all tasks in the portal are assigned to the correct people.
    • Remove individuals from the portal who are not part of the project (since template tasks may have either Julia or Ceci as creator/followers, causing extra notifications).
  4. Timeline and Deadlines:

    • Add Start Date and Due Date to all project phases (refer to the existing guide on this process).
    • Add due dates to all tasks according to the project timeline (if there are any questions about the timeline, consult the PM).
  5. Client Integration:

    • Assign client to relevant resources.
    • Invite the client to the project portal.
  6. Client Portal Setup:

    • Follow the existing SOP for setting up the client portal to ensure all necessary elements are included and properly configured.

Things to Keep in Mind

Consistency: Ensure that all steps are followed for every new project to maintain consistency and avoid any oversights.
Communication: Keep open lines of communication with the PM and other team members to clarify any doubts regarding the timeline or task assignments.
Client Onboarding: Make sure the client is comfortable and familiar with using the project portal. Provide any necessary guidance or instructions.
Documentation: Document any deviations or special instructions for the project setup to ensure all team members are aware.
