This SOP template is applicable to all departments and team members responsible for creating, updating, and maintaining SOPs within the organization.

Definitions

  • SOP (Standard Operating Procedure): A set of step-by-step instructions compiled by an organization to help workers carry out routine operations.
  • Template: A pre-designed document format used to provide a consistent structure.

Procedure

  1. Title

    • Purpose: Clearly indicate the title of the SOP.
    • Example: "Onboarding New Employees"
  2. Scope (Description) 

    • Purpose: Define the boundaries of the SOP, including what is and is not covered.
    • Example: "This SOP applies to all new hires within the sales department."
  3. Purpose (Why this is important)

    • Purpose: Explain the reason for the SOP and its intended outcome.
    • Example: "To ensure a smooth and consistent onboarding process for all new employees."
  4. Definitions

    • Purpose: Provide definitions for any technical terms or concepts used in the SOP.
    • Example: "Onboarding: The process of integrating a new employee into the company."
  5. Procedure

    • Purpose: Outline the step-by-step instructions to be followed.
    • Example:
      1. Prepare Onboarding Materials: HR prepares a welcome packet and login credentials.
      2. Day 1 Introduction: New hire meets with HR for orientation.
      3. System Setup: IT Support sets up the new hire's computer and email account.
      4. Team Introduction: Sales Manager introduces the new hire to the team.
  6. Documentation or References

    • Purpose: List any related documents or SOPs that provide additional information.
    • Example: "Employee Handbook, IT Setup Guide"
